Case Study: YPO Global – Fireside Chat with The Bryan Brothers

Event Overview

Working alongside Dream Set Go and YPO Global, Artisan Productions delivered full AV and event production for an exclusive evening at The Riverside Rooms, County Hall, London.

This special occasion formed part of a luxury Wimbledon experience for VIP guests from the United States and Canada, offering them the chance to enjoy an intimate fireside chat and dinner with tennis legends The Bryan Brothers, followed by a DJ set to close the night.

Our brief was to transform the Parliament Room into an elegant and welcoming environment that balanced conversation, dining and celebration, all within a limited budget.

The Client Brief

YPO Global and Dream Set Go required a refined setting that reflected the prestige of Wimbledon while remaining relaxed enough for an informal Q&A and evening dinner.

They wanted:

  • Discreet, high quality audio reinforcement for interviews and speeches

  • Warm, flattering lighting that created atmosphere without being overpowering

  • A branded stage and backdrop suitable for photography and filming

  • Complete technical management from setup through to live delivery and de-rig.

The Solution

Artisan Productions supplied a complete audio visual and production package, including staging, lighting, audio, set, branding and crew.

Each element is explained below with both a Human and Tech description.

AUDIO

Human:
The goal was simple – clear, balanced sound for the fireside chat and smooth, rich coverage for the after dinner DJ set.

Tech:
Audio was managed through an Allen & Heath SQ5 console using Sennheiser EW D wireless microphones, running an L Acoustics system of SB15m and A10w loudspeakers for the main sound, with an X8 on round base stands as delay fills. The system was powered by two LA4X amplifiers to provide even, detailed coverage throughout the room.

LIGHTING

Human:
Lighting needed to flatter the speakers, create a sense of warmth for the dinner and bring a touch of theatre for the entertainment that followed.

Tech:
The rig included Portman P1 and Robe 150 fixtures for the stage, supported by warm uplighting across the room and a soft face wash on the interview area. The lighting design was programmed on an Avolites T3 to shift gradually from discussion mode to a more dynamic setting for the afterparty.

BACKDROP

Human:
A custom printed tennis themed backdrop featuring images of The Bryan Brothers and event branding created a professional focal point behind the stage.

Tech:
Built using a 4 x 3 metre stretch fabric aluminium frame system, the backdrop was printed to specification and installed with side masking for a seamless finish.

STAGING

Human:
A simple and professional stage platform provided clear visibility for both the speakers and audience.

Tech:
Constructed from four 2 x 1 metre LiteDeck platforms joined together with 30 centimetre legs, the stage was carpeted in black and finished with black fascia boards. The carpet and fascia were secured with double sided tape and staples for a neat and stable finish.

RED CARPET

Human:
Guests arrived via a glamorous red carpet entrance, immediately setting the tone for an elegant and memorable evening.

Tech:
A 15 metre by 2 metre red carpet was laid over the existing flooring and fixed with high tack double sided tape for a secure and professional finish.

BRANDING

Human:
The bar and welcome areas were fully branded to reflect the event identity and sponsor messaging.

Tech:
A custom printed bar surround measuring 6 feet by 1.2 metres matched the main stage backdrop, complemented by an A1 welcome sign displayed on an easel.

CREW & LOGISTICS

The onsite team included an audio engineer, a lighting engineer and a general technician, arriving together in a long wheelbase van for efficient transport and load in.

Event coordination was carried out in collaboration with Mona Kamyab of Seasoned Events, who managed the wider delivery.

THE RESULT

The Parliament Room at The Riverside Rooms was transformed into an intimate, polished space that perfectly balanced discussion, dinner and entertainment. The combination of subtle lighting, clean audio and elegant scenic elements created an atmosphere that felt luxurious yet relaxed.
